Medical Office Manager – Downtown Pittsburgh

Position Overview:

The Medical Office Manager is an integral member of the Free Healthcare Center team with the responsibility of overseeing the administrative functions of the medical clinic in accordance with all federal, state, and local regulations as well as Catholic Charities’ policies. The Medical Office Manager will successfully manage the front and back office functions to ensure efficient operation of the clinic and collaborate with health care professionals and volunteers in the delivery of exceptional care to patients.

Key Performance Objectives:

  • Ensures staffing is appropriate for daily operations and the office space, supplies, equipment, and any needed assistance are provided for medical staff and volunteers to deliver quality patient care.
  • Schedules and maintains calendars for all clinical (i.e. physicians, nurses, pharmacists) and non-clinical (i.e. front desk, eligibility) volunteers to meet the needs of our patients.
  • Schedules patient appointments while strictly adhering to patient confidentiality and to all eligibility requirements.
  • Works independently to secure appropriate documentation required and necessary for daily practice operation.
  • Manages, monitors and facilitates payments and purchases as well as tracking the expenditures to the budget.
  • Assists the Medical Director with improving, implementing and developing the office processes, policies, and procedures in support of patient care.
  • Ensures a clean and safe environment in the waiting area for patients.
  • Communicates and deals effectively and professionally under pressure and with staff, physicians and the public.
  • Serves as the advanced user of the electronic medical record system.
  • Assists with the annual credentialing, privileging, and liability coverage application submission process.
  • Ensures compliance with the requirements of the appropriate regulatory agency. (i.e. OSHA, CLIA, PA Department of Health, federal, state and local regulations).

Qualifications:

  • An associate’s degree in healthcare, business or a related field.
  • A minimum of three years of experience in a health care setting preferably with primary care.
  • A minimum of two years of supervision experience.
  • Advanced computer skills, knowledge of Microsoft Office and electronic health records.
  • Excellent interpersonal, oral/written communication and customer service skills.
  • A demonstrated history of effectively organizing and prioritizing work flow processes.
  • Act 33/34 and FBI clearances.
